Operations Administrator



GreenForce is a full-service staffing and temporary employment agency focused on labor solutions for the cannabis industry in Oregon.  We are currently looking for an Operations Administrator. This person possesses strong interpersonal skills, a team-oriented attitude, clear communication, is detail-oriented and thrives in a fast-paced environment, where multitasking and prioritizing tasks are essential. The Operations Administrator will collaborate with all departments to ensure smooth communications and oversight while scheduling, managing and maintaining a number of internal reports and processes. 


As the Operations Administrator, your primary tasks will include managing the office and supporting office staff as well as overseeing a portion of the weekly financial tasks, timesheet accuracy, compensation reports, accounts receivable and client invoicing. The Operations Administrator will report directly to the VP of Operations.

  • Monday to Friday




  • Schedule appointments and maintain office and executive calendars 

  • Create and maintain filing systems, both electronic and physical

  • Send out invoices to partners on a weekly basis and as requested

  • Manage payments (checks, credit card, cash, bank transfer) from partners in a timely manner

  • Process bank deposits when requested

  • Send weekly A/R reports

  • Send out monthly financial summaries both internally and externally

  • Assist with past due balances and collections

  • Maintain accounts receivable to ensure aging is up to date and uncollectible amounts are accounted for at an acceptable level

  • Maintain workforce timesheet accuracy

  • Support payroll process

  • Accumulate Employee performance data for reviews and analysis 

  • Executive support to CEO and VP of Operations

  • Sales and account management support 

  • Provide administrative support as needed, weekly documents, communications, etc

  • Familiarity with Traction methodology



  • Proficient in Microsoft Office, Google Suite, and Quickbooks

  • Self Starter

  • Attention to detail

  • Strong accounting and bookkeeping skills

  • AR experience preferred

  • Strong customer service skills

  • Ability to communicate effectively over the phone and via email with a variety of clients

  • Maintain professional boundaries and handle confidential information with discretion

  • Willingness to invest and grow with the organization



  • Bachelor’s Degree or higher or equivalent experience. Business Administration preferred

  • Full-Time availability

  • 2+ years in office administration and/or A/R Experience

  • Knowledge of the cannabis industry preferred

  • Marketing and communications experience is a plus
